PLOTE CONSTRUCTION – SUMMER POSITION (posted May 7, 2008)

Job Summary:
Provides general support to end-users within the many different organizations associated with Plote Construction. Locations include 2 Golf Courses, 8 asphalt plants/quarries, 9 Field Offices, Main Office, and various users in the field on broadband cards.

Essential Duties and Responsibilities:
1.            Gathers relevant information and logs events, provides initial problem identification by telephone.
2.            Searches the knowledge base to propose solutions for common problems.
3.            Employs and coordinates subject matter experts to resolve problems and escalate issue to management as appropriate.
4.            Tracks ongoing status of all issues and communicates resolutions to users. Logs resolution status and results in Help Desk database.
5.            Coordinates among MIS groups and the rest of the organization in resolving issues for the customer.
6.            Documents solutions and workarounds for presentation to other staff.
7.            Makes recommendations to initiate or change a process within MIS.
8.            Consistently answers calls in a timely fashion and confers with MIS staff to answer questions and expand knowledge of the UAI systems.
9.            Creates daily/weekly/monthly reports and documentation on a regular or as-needed basis.
10.          Must be able to drive site to site daily. (with own car)

Job Requirements:
Some college coursework in computer science or management information systems.  Proficient with windows desktop administration (Vista/XP). Excellent desktop trouble-shooting experience in MS Office Suite.  Strong knowledge of standard PC configurations, laptops, and networked printers.  Strong communication, problem –solving, power user and customer service skills.  Must be able to work independently or in a team environment.

Project Manager

The Project Manager is responsible for assisting on multiple projects through kick-off, maintenance and closeout phases.  Coordinates K&K, subcontractor and supplier work and activities ensuring project progression is on schedule and within budget.  The Project Manager is the focal point for project scheduling, coordination, changes and communication with staff and customers, from who you will learn and assist.

Principle Duties and Responsibilities:

Project Kick-off:

• Develop a schedule of values
• Read each scope item in the proposal/contract. Find it in the drawings and become familiar with it.
• Read and become familiar with each exclusion and qualification.
• Read and learn the specifications.
• Review the job estimate.  How was the job figured?  Was something missed?  Ask the Estimator questions.
• Review the constructability of the project.  How will it go together?  How can it be built cheaper & faster?
• Schedule the project.  Input all line items into master schedule
• Budget project for input into job costing program
• Place order for long lead items.  Review file/estimate for quotes received at bid time.  Solicit at least 3 quotes if 3 quotes were not received at bid time.
• Prepare mill order list for purchasing department.
• Review project with detailer:
• What products (and related submittals will be outsourced)
• Review entire scope including exclusions with the Detailer
• Accompany field crews to the job on the first day

Project Maintenance:

• Keep job files & drawings in an orderly system so that anybody in the company can find files/drawings if required.  Lost files & paper work can be very costly.  Scattered files, paperwork & drawings about an office will not be tolerated.
• Full disclosure policy:
• If there is an error made, disclose such error to the whole team immediately.  The quicker an error is discovered and revealed, the less expensive the fix will be.
• If somebody else’s error is discovered, reveal the error to the whole team immediately.  The quicker an error is discovered and revealed, the less expensive the fix will be.  For example - If the estimating department makes a pricing error and a Project Manager discovers the error, reporting it immediately may allow us to shop the job a little harder to compensate for the error.
• Speak up if you have an idea on how to improve our systems and procedures.  Our procedures are a work in progress and all good ideas will be implemented.
• Extra policy:
• Review every new drawing.  If extras exist, price immediately.  If changes are significant, request the assistance of the estimating department.
• Review every fax, email & letter for cost changes.  All costs must be priced and submitted immediately.
• Review all returned shop drawings.  Prior to returning to detailer, all revisions must be priced.  Submit pricing immediately.
• Keep abreast of any project schedule changes.  All changes must be communicated to all others on your team including but not limited to suppliers, detailers, shop foreman & field superintendent.  Input
• Keep log of all information that goes in and out for a project.
• Responsible for all timely submittals.  Late submittals will not be tolerated.
• Document all late submittals.
• Generate a letter 2 days prior to a submittal being due in our office.
• Generate a letter everyday until late submittal is received.
• Letters regarding late submittals to suppliers & detailers must state their liability for any overtime and for any back-charges received from the contractor.
• Letters regarding late submittals from customers must state that the lateness will delay the project accordingly.
• Responsible for timely submission of drawings into the shop.  Release of drawings into the shop without giving the shop appropriate lead time will not be tolerated.
• Monthly billing.  Be aware of the monthly cut-off date and submit billing in a timely manor

Project Closeout:

• Submit final recap to Accounts Receivable
• Organize file for storage.
• Remove design drawings, shop drawings and approvals from racks and put into a single roll or stack for storage.
• If a warranty is requested, coordinate with accounting.
• Provide feedback on how the detailer faired for the project

Preferred Experience and Skills

• Degree in Construction Management or Experience in related field
• Experience with structural steel or miscellaneous metals (preferably both).
• High school diploma at a minimum.  Associates or Bachelors degree preferred.
• Experience demonstrating:
• Excellent verbal and written communication skills.
• Superior organizational skills.
• Ability to multi-task and prioritize.
• Strong problem solving skills.
• Experience in contract administration.
• Excellent customer relations skills.
• Must be a team player.
• Working knowledge of MS Word and Excel.
